HBTA Policies and Procedures
HBTA, like all Australian Registered Training Organisations, is committed to ensuring that you complete your program within a reasonable timeframe. When you enrol, we discuss your program with you and provide you with a guideline on the time each unit or module should require for completion.
These are guidelines and we understand that life happens. However, we have a duty of care to ensure that you do not 'slip through the cracks' and take more than a year to complete a single unit of competency, for example. To ensure that you complete your program in a reasonable timeframe, we have therefore implemented the following.
Policy on Progression through your course - the "Progression Rule"
We attempt to be flexible and reasonable when specifying the arrangements for completing the course requirements. There are, unfortunately, external pressures which require us to make sure that you do not neglect your enrolment. After all, you paid good money to study with us. You deserve to complete your program in a reasonable amount of time and this is summarised here.
If circumstances will prevent you from completing your course requirements within expected time-frames, you should notify us and discuss options for completion. We are quite reasonable and understand that "things happen".
For example, carers may find that personal commitments make it difficult to complete the work in this time-frame. Your enrolment might also coincide with a previously planned and much anticipated life event such as a wedding or birth of a child. Under these circumstances, your enrolment can be deferred for a mutually specified period to give you time to get things back onto a an 'even keel' again.
We can also consider alternative enrolment patterns to assist you with completing course requirements. These include transferring to:
- distance education
- workshops
- mentoring
- on-job training and assessment
Unfortunately, we are bound to ensure that you progress through your program. If we do not hear from you for more than three months, your enrolment will be suspended. If another three months passes without contact, your enrolment will be cancelled and no refund applications will be considered.
It is important to realise that failure to submit assessments at no more than three-month intervals will result in:
- rejection of Refund applications unless exceptional circumstances applied
- termination of enrolment with subsequent issue of a testamur only for units which were completed
- strict progression conditions applied to any deferral requests which are subsequently approved
HBTA will attempt to make regular contact with you during the course of your enrolment. Our student body is large and it is possible that you might be accidentally left out of a monthly review.
However,
- if you relocate and fail to notify us using this form
- do not respond to phone messages, emails or letters
- do not attempt to contact us to negotiate extensions if needed
our options for helping you complete your program successfully become rather limited.
The onus is therefore on you to ensure that you maintain regular contact and take every reasonable step to complete your program within a reasonable time frame.
